Ship To Locations

Ship-To Locations represent delivery destinations for fuel in the LMI system. They are physical locations where fuel is delivered and stored, typically containing one or more tanks. Each ship-to location is associated with a customer and serves as the central point for fuel delivery operations, order tracking, and billing.

Overview

A ship-to location contains:

  • Basic information - Name, external ID, customer association
  • Address - Physical location details (linked to Location entity)
  • Business hours - Operating times and preferred delivery windows
  • Terminal assignments - Primary and secondary fuel supply terminals
  • Billing configuration - Billing profile for invoicing
  • Tank information - Associated tanks and certifications
  • Pull numbers - Terminal product configurations for fuel sourcing

Accessing Ship To Locations

Navigate to Data Catalog → Ship To Locations from the sidebar.

Ship To Locations List

The Ship To Locations page displays all delivery destinations in a searchable, filterable table.

Table Columns

Use the search box to find ship-to locations by:

  • Location name
  • External ID
  • Street address

Filtering

Click the Filters button to filter ship-to locations by multiple criteria.

Viewing Ship To Details

Click on an External ID to open the detail panel, which provides comprehensive information organized into tabs.

Info Tab

The Info tab displays core ship-to information.

Information displayed:

  • Name and External ID
  • Customer (clickable link)
  • Business Units
  • Organization and Service Area
  • Address (clickable to edit)
  • Business Hours (open/close times)
  • Preferred Delivery Window (start/end times)
  • Tank Certification expiration date
  • Notes

Tanks Tab

The Tanks tab shows all fuel tanks at this location.

Features:

  • List of all tanks with product information
  • Add Tank button to create new tanks
  • Ship-To Pull Numbers section for terminal product configurations
  • Freight Distances section showing calculated distances to terminals

Pull Numbers

Pull numbers define which products can be sourced from each terminal for this location.

Orders Tab

The Orders tab shows recent fuel orders for this location.

Displays the last 10 orders with quick access to order details without leaving the ship-to context.

Billing Tab

The Billing tab provides billing configuration for the location.

Adding a New Ship To Location

  1. Click the Actions button in the page header
  2. Select Add ShipTo
  3. Fill in the required fields
  4. Click Save to create the location

Editing a Ship To Location

From the detail panel, click Edit to modify the ship-to location.

Archiving a Ship To Location

To archive a ship-to location that is no longer active:

  1. Open the edit panel
  2. Click the Archive button
  3. Confirm the action

Archived locations are hidden from the default list view but can be viewed using the Archived filter.

Relationship to Customers

Each ship-to location belongs to a single customer. A customer can have multiple ship-to locations representing different delivery points.

Relationship to Tanks

Tanks are physical fuel storage containers at the ship-to location. Each tank:

  • Has a product type and capacity
  • Is monitored for fill levels
  • Tracks delivery history
  • Has certification requirements

Relationship to Terminals

Terminals are fuel supply points. Each ship-to location can have:

  • Primary Terminal - Main source for fuel supply
  • Secondary Terminal - Backup source when primary is unavailable

Terminal assignments affect:

  • Fuel sourcing decisions
  • Freight cost calculations
  • Delivery routing

Relationship to Billing Profiles

The billing profile determines how deliveries to this location are invoiced, including:

  • Freight rates based on distance
  • Markup percentages
  • Billable item charges

Tank Certifications

Ship-to locations track tank certification expiration dates for regulatory compliance.

Expiration warnings:

  • Dates within 30 days show in red
  • Dates within 30-60 days show in amber
  • Dates beyond 60 days show in default color

Best Practices

Location Setup

  • Always associate ship-to locations with the correct customer
  • Set business hours to improve delivery scheduling
  • Configure preferred delivery windows for customer convenience
  • Assign primary and secondary terminals for supply redundancy

Address Management

  • Ensure addresses are complete and accurate for geocoding
  • Verify that latitude/longitude coordinates are populated (indicated by address color in table)
  • Update addresses when physical locations change

Terminal Configuration

  • Set up pull numbers for each product type needed at the location
  • Mark the primary pull number for default sourcing
  • Keep terminal distances updated for accurate freight calculations

Tank Management

  • Track all tanks at each location
  • Monitor certification expiration dates
  • Update tank information when equipment changes

Troubleshooting

  • Check if the location is archived (use Archived filter)
  • Verify the search term matches name, external ID, or address
  • Clear any active filters that may exclude the location

Address showing in red/warning color

  • The location is missing geocoordinates (latitude/longitude)
  • Edit the associated location to update the address
  • Verify the address is complete and valid

Cannot edit tank certification

  • Verify you have the EDIT_TANK_CERTIFICATION role
  • Contact your administrator for permission

Pull numbers not showing

  • Ensure terminals are configured for your company
  • Verify products exist in the system
  • Check that the ship-to has terminal assignments

Orders not appearing in Orders tab

  • Verify orders exist for this ship-to location
  • Check that you have permission to view orders
  • Only the last 10 orders are displayed

Freight distances not calculating

  • Ensure primary/secondary terminals are assigned
  • Verify terminal addresses have valid coordinates
  • Check that distance calculation jobs have run
